Smaller screens
Section titled “Smaller screens”- On tablet / small-laptop widths, the sidebar becomes a slim icon-only rail — navigation stays visible and Tasks stays interactive beside it.
- On narrow (phone) viewports, a hamburger opens the sidebar as a drawer.
- Same nav items as desktop at every size.
Mobile and narrow viewports
Section titled “Mobile and narrow viewports”Wigglesome works in mobile browsers and can be installed to your home screen (Add to Home Screen / PWA). On supporting browsers (for example Android Chrome), a one-time Install Wigglesome for quicker access snackbar may appear after you sign in — choose Install or Not now. You can also use the browser menu (Install / Add to Home Screen). Install opens a standalone window; the app stays online-first (no offline cache). Navigation uses the hamburger drawer below tablet widths; an icon rail keeps content interactive on medium widths.
On narrow viewports the workspace list and secondary admin tables (Trash, Members, task-view settings, permission grants) use card layouts instead of sideways-scrolling tables. Kanban columns wrap without horizontal scroll. Task detail opens full screen on phones (sticky footer actions stay visible). Use Select multiple on the bar above the list (or long-press a task card) for bulk actions. Layout and Columns / Card fields live under View options on narrow widths. Secondary filters (Show completed, Group by, and packaged toggles) live under Filters on narrow widths. On touch devices, some desktop hover-only row actions stay visible on coarse pointers or after focus.
Search modal
Section titled “Search modal”Open: top utility bar Search (md+), mobile header Search, ⌘K, or Ctrl+K.
| Action | How |
|---|---|
| Search | Type query → org-scoped title search |
| Navigate results | Arrow keys |
| Open task | Enter or click → task detail modal |
| Open project | Enter or click → drill-down |
| Save as view | Name it → Save view (creates a saved view in the sidebar) |
| Close | Escape, ×, or backdrop |
Saving from the palette creates a saved view whose filter carries the text query — the same object as any view in the sidebar, so a text search and a structured filter are one concept.
Command mode
Section titled “Command mode”A leading > in the same modal switches to command mode (navigation targets only — views, tags, projects, fixed pages, org switch). ⌘⇧P / Ctrl+Shift+P opens the modal with > prefilled. Delete the > to return to search with the typed text intact. Command mode never returns task results.
Keyboard shortcuts
Section titled “Keyboard shortcuts”Press ? when focus is not in an editable field, or use sidebar footer Keyboard shortcuts, for a read-only overlay of Global (Search, Quick capture, Command mode, Escape), Review (r / j·↓ / k·↑), and List (title roving, Enter, Space) shortcuts. It is not a keybinding editor.
Quick capture parks a note in your Inbox without leaving the current screen: top utility bar Quick Capture (lg+), mobile header icon, or ⌘⇧C / Ctrl+Shift+C (writers only).
Help (user guide)
Section titled “Help (user guide)”Sidebar footer Help opens a read-only overlay of this user guide. Use the heading search to jump to a section. Command mode (> in search) offers Help: … destinations for curated topics; empty states and some Settings intros offer Learn more to the same overlay. It does not open from ? (that chord remains keyboard shortcuts) and is not a product tour.
Route /org/{slug}/inbox lists your parked tasks for the active organization. Capture (header, mobile, or ⌘⇧C) parks a thought here without leaving the current screen. On each row, writers can Ready (release from Inbox into the open list), Discard (soft-delete), or Make project. Viewers can open Inbox read-only without Capture or process actions. Parked items stay out of most other lists until Ready (org Privacy can change that).
Main surface at /org/{slug}.
Header
Section titled “Header”| Control | Action |
|---|---|
| Heading | All tasks, view title, tag name, Projects, or My Tasks (hierarchy location is in breadcrumbs) |
| Project color dot | On breadcrumb segments when drilled into a colored project |
| View only notice | When effective role is viewer at this level |
| List / Kanban / Calendar toggle | Switches layout; persists per org/view context (My Tasks returns to List on reload) |
Breadcrumbs and filters (hierarchy modes)
Section titled “Breadcrumbs and filters (hierarchy modes)”Shown for All Tasks drill-down and My Tasks (not for flat view/tag lenses).
| Control | Action |
|---|---|
| Breadcrumb All tasks | Return to root list |
| Breadcrumb segment | Navigate to that ancestor level |
| Show completed | Toggle done / canceled rows; persists for the active view context |
| Include overdue | Only on Due Today packaged view; extends today window (custom views with Due = today store include-overdue on the definition instead) |
| Due horizon | All · Today · Next 7 days · Next 30 days on eligible list surfaces (?due=); not on custom saved views, Projects index, Review, or Home |
Due horizon vs view Due: Temporary overlay on the open list (?due=), not packaged/saved Due membership. Full framing: features.md (Due horizon vs custom/packaged Due). On custom views, encode time with the editor’s Due field (horizon control is absent).
Show completed resolution: URL override → context/per-view override → app preference default → default on.
List layout
Section titled “List layout”| Column / control | Action |
|---|---|
| Status icon | Click to cycle status (todo → in_progress → done); disabled for terminal rows and viewers |
| Title + display ID | Title link opens task detail (?task=); middle-click / Ctrl/Cmd+click opens in a new tab. Long titles wrap at most two lines; hover the title for the full text |
| Column width | Desktop table: drag the tick on a header’s right edge, or focus the tick and use Left/Right (Shift for larger steps). Widths persist per view. Double-click restores that column; Columns → Reset restores all |
| Description | Not shown on the table row (open the task). Phone cards still show a one-line preview |
| Project | Containing project or Unfiled (no project ancestor — same idea as Cleanup Unfiled Tasks); writers can change via picker when the column is visible |
| Assignee / Priority / Due / Tags | Display; writers can edit many cells inline via compact popovers |
| Open (project link) | Drill into that project’s hierarchy without opening the modal |
Kanban layout
Section titled “Kanban layout”| Action | How |
|---|---|
| View columns | To do, In progress; plus Done, Canceled when Show completed is on |
| Open task | Click card → detail modal |
| Change status via drag | Drag card onto another status column (writers) |
Calendar layout
Section titled “Calendar layout”| Action | How |
|---|---|
| View | Month grid by due date (your timezone); Week and Agenda variants |
| Navigate | Prev / Next / Today |
| Open task | Click a day chip → detail modal |
| Undated | Region lists tasks with no due date |
| Due-window views | Switching to Calendar widens a due filter (e.g. Due Today) to the visible month; returning to List restores the original list results |
Quick-add
Section titled “Quick-add”| Action | How |
|---|---|
| Create task at current level | “Add a task and press Enter” |
| Context | Root, drilled project, or hierarchy mode; also My Tasks, tag browse, and task views; hidden when view-only or cross-org |
Optional @key:value field directives (and bare @reviewed) in the same line set fields on create (stripped from the title). Directives override view/My Tasks defaults for the same field.
While typing, @ opens autocomplete: choose a field key, then pick a value (org priorities/statuses, members, tags, projects, due shortcuts like today/tomorrow, or pinned true/false). @reviewed inserts as a flag (no value). Arrow keys move the highlight; Enter or Tab inserts; Escape dismisses. Filter by continuing to type. Capture / Inbox quick-add does not use directives.
| Directive | Example | Effect |
|---|---|---|
@due: | @due:07152026 or @due:2026-07-15 | Due date at noon in your timezone (mmddyyyy or yyyy-mm-dd) |
@tags: | @tags:writing,q3 | Apply tags (creates missing org tags); no spaces in tag names |
@priority: | @priority:medium | Org priority key |
@assignee: | @assignee:alice | Assign by username (must be an org member) |
@status: | @status:done | Org status key |
@pinned: | @pinned:true | Pin the new task for you |
@project: | @project:Website or @project:"Q3 Launch" | File under an existing project (title or display id); quoted titles when the name has spaces |
@reviewed | @reviewed | Mark reviewed at create time (reviewed_at = create timestamp); no :now / :created values |
Example: Ship docs @due:07152026 @priority:medium @tags:docs @assignee:alice @project:Website @reviewed
Invalid values (bad date, unknown status/priority, unknown assignee, unknown or ambiguous project, valued @reviewed:…) show an inline error and do not create a task. Unknown tokens like @foo:bar stay in the title.
My Tasks specifics
Section titled “My Tasks specifics”- Flat list (no hierarchy breadcrumbs).
- Default shows tasks assigned to you. Use the Assigned / Created / Collaborating chips to include any mix (OR). URL uses
involve=(e.g.involve=assigned,collaborating); omitinvolvefor Assigned-only. Your last chip selection is remembered per organization when you reopen My Tasks from the sidebar. - With Show completed on and list layout: matching open tasks in main table; Completed (N) section below for done/canceled.
Completed section
Section titled “Completed section”When show-completed is on in list layout, terminal-status tasks may appear in a separate Completed section (hierarchy and My Tasks).
Task detail modal
Section titled “Task detail modal”Opens over Tasks; URL ?task= restores on reload. Title: {display_id} · {title}.
Close: ×, backdrop click, or Escape (unless a nested confirm is open).

Comments
Section titled “Comments”| Action | How |
|---|---|
| Post | Text → Post |
| Edit own | Edit → save |
| Delete own | Delete |
| Delete any (owner/admin) | Delete on others’ comments |
| Mention | @username (literal handle) |
Oldest-first; author username shown.
Follow / Unfollow (attribute bar): watch discussion so comment notifications reach you. Creator, assignee, collaborators, and anyone who comments auto-subscribe; Unfollow stops further comment_added notifications until an auto role re-subscribes you. Mentions still notify independently of follow state.
Custom fields
Section titled “Custom fields”Typed editors per org definition. Org admins manage definitions under Organization → Custom fields (Visible hides org-wide without deleting task data; Delete removes the definition). Each member can hide org-visible fields under Settings → Display (visual only — stored values unchanged). Keys without definitions appear read-only under Legacy fields (JSON).
Provenance
Section titled “Provenance”Read-only: created/updated by (username) and timestamps. Active tasks also show a muted Open duration (instance elapsed time) — clock copy, not a verdict (time-signals.md).
Permissions
Section titled “Permissions”Visible to org owners/admins and users with effective admin on this resource.
| Action | How |
|---|---|
| List grants | Per-member effective roles |
| Add grant | Select member + role → save |
| Change grant | Edit role on row |
| Remove grant | Remove |
| Hidden (none) grant | Confirm dialog — user loses visibility of subtree |
Grant roles: none, viewer, member, admin (not owner).
Private
Section titled “Private”Creators and org owners/admins can mark a task or project Private in the attribute bar. Private items (and descendants under a private project) are not visible to other members and viewers. Org owners and admins still see them. Assignees can see a private leaf assigned to them, but not work under someone else’s private project. Private is org-wide visibility; a Hidden (none) permission grant hides an item from one member only.
When you open a project as a folder (hierarchy drill, Projects tree / index, or Cmd+K), use Project details (under the drilled heading) or Open details / Details on the row to reach the attribute bar — title click still drills into children.
Actions footer
Section titled “Actions footer”Core fields and custom fields autosave (~600 ms after you stop editing). The footer shows Saving… → Saved, or Save failed on error. There is no separate Save button. Closing with an unsaved or failed change asks Close without saving?
| Button | Action |
|---|---|
| Delete | Soft delete; cascade prompt if children exist |
| Copy link | Copies absolute /org/<slug>?task=<display_id> URL (any reader) |
| Change history | Nested dialog of task-row field changes |
| Permissions | Owners/admins — grant management dialog |
| Export subtree | Download JSON of task + descendants (off by default; enable in Settings → Display & layout) |
| Save as template | Writers — store subtree as an org template (Settings → Templates) |
| Close | Dismiss modal (unsaved-change guard when applicable) |
Delete with children: choose delete all (cascade) or keep children (reparent). If cascade would include nested tasks you cannot delete, the app warns with the count and offers cancel or skip those and delete the rest.
Viewers: fields read-only; no Delete/template/export; tags/links/comments/dependencies disabled. Copy link, Follow / Unfollow, and Change history remain available when the task is readable.
Navigate between tasks
Section titled “Navigate between tasks”Opening a link, dependency, or search result can switch the modal to another task (onNavigateToTask).
New project modal
Section titled “New project modal”Sidebar Projects + (write access).
| Field | Required |
|---|---|
| Title | Yes |
| Color | Optional swatch |
Create adds root-level project to sidebar tree and root list.
View editor
Section titled “View editor”From New view or edit (overflow Edit) on a saved view you can write.
A saved view can constrain by text and/or structured filters — a text-only view is what used to be a “saved search.” On create, optional Share with organization makes the filter available to teammates in this org (shared names are unique per org). Assignee → Me on a shared view means each teammate’s own assignment, not the creator’s. Shared views show a Shared label in the sidebar and list summary; non-writers see the summary without Edit.
Each filter dimension is a collapsible group. The header shows the name and a count chip (N selected or none). Groups with an active selection open by default; empty groups start collapsed — expand a group to change its filters.
| Field | Options |
|---|---|
| Name | Required |
| Text contains | Free text; matches title and/or description (Contains or Whole words; choose Title / Description) |
| Status | Multi-select from the org’s workflow options |
| Priority | Multi-select from the org’s priority options |
| Assignee | Any, me, unassigned, or a specific member |
| Include tags | Multi-select; Match = all selected (default) or any selected. Exact tag ids only — selecting a parent does not include tasks tagged only with a child (unlike sidebar tag browse, which is descendant-inclusive) |
| Exclude tags | Multi-select; task must have none of these tags. Same exact id rule — list each leaf you want hidden |
| In projects | Root projects only; task’s container_project_id must be one of the selected roots |
| Not in projects | Root projects only; exclude those roots |
| Kind | Any, task, or project |
| Due | Any, overdue, today, this week, or none |
| Goal | Any, today, this week, or none (goal date is a silent target — it does not drive due nudges) |
| Reviewed | Any, never reviewed, or stale (14+ days) |
| Custom fields | Predicates per org definition (eq / empty / comparisons by type) |
Flat project list: create a view named Projects, set Kind to project, leave other fields at Any. Opens a scannable flat list of every project in the org (all nesting levels). The sidebar Projects tree is for hierarchy drill-down; this view is the flat alternative. Seed user owner@test.com includes a Projects view after db reset.
| Action | Button |
|---|---|
| Save | Save (create or update) |
| Delete | Delete (edit mode) |
| Cancel | Close modal |
Trash (/org/{slug}/trash)
Section titled “Trash (/org/{slug}/trash)”| Action | How |
|---|---|
| Modes | Segment My trash \ |
| View deleted tasks | Table: title, kind, deleted at (cards on narrow viewports) |
| Filter loaded list | Filter by title… plus Tasks only / Projects only chips (client-side over loaded rows; use Load more to bring more into scope) |
| Restore | Restore per row (write access) |
| Empty my trash | Empty my trash only in My mode when permanent delete is allowed (members need Policies → Trash → Allow members to permanently delete from trash; owners/admins always) |
| Org permanent delete | In Org trash: select rows → Delete permanently (includes writable soft-deleted descendants under a selected parent; others you cannot delete stay in trash; no mass empty on this page) |
Org-wide purge of soft-deleted items older than N days is under Settings → Policies → Trash (Empty trash older than…). Keep deleted items for prefills that dialog; nothing deletes automatically.
Restore fails if parent is still deleted (API error shown). Viewers can list trash but cannot restore or permanently delete.
Settings (/org/{slug}/settings)
Section titled “Settings (/org/{slug}/settings)”Settings are grouped in the rail. Use ?section= to deep-link (Profile is the default when the param is omitted). Legacy aliases still resolve: preferences → Appearance, views → Task views, task-defaults → Task creation, display → Task detail sections, organization → General.
You: Profile · Appearance (appearance) · Notifications (notifications) · Task defaults group → Task creation (task-creation) / Task views (task-views) · Display & layout group → Task detail sections (display-detail-sections) / Task list columns (display-list-columns) / Display presets (display-presets) / Other (display-other) · Privacy (privacy) · Backups (backups)
Organization: General (org-general) · Display & layout group → Sidebar layout (org-display-sidebar) · Policies group → Access & data (org-policies) / Trash (org-policies-trash) · Members (org-members) · Custom fields (org-custom-fields) · Statuses & priorities (org-workflow-options) · Tags (org-tags) · Checklist library (org-checklists) · Templates (org-templates) · Extensions (org-extensions) · Import & export (org-import-export)
Danger zone: Delete organization (org-danger)
Checklist templates live under Checklist library; project/task subtree templates and view templates live under Templates. Each section links to the other so you do not have to hunt both. Apply or clone a checklist from task detail; create a subtree or a personal saved view from Templates. To freeze a custom view’s filters as a playbook, open the view editor and choose Save as view template.

| Enable OS notifications | Optional Web Push for this browser — same type toggles gate what can push; not offline or list sync. Unavailable when the browser or VAPID key does not support push. |
Due-reminder timing (morning of vs evening before the due day) is set under Organization → Policies, not here.
Who receives due reminders
Section titled “Who receives due reminders”- Due today and Past due go to the task assignee when one is set.
- If the task is unassigned, they go to the creator while that person is still in the org.
- You must have Enable notifications and the relevant type toggles on in this panel.
- Completed, canceled, and soft-deleted tasks are skipped.
Timing: Org owners and admins choose morning-of vs evening-before under Organization → Policies (recipient timezone). Personal toggles here control whether you receive each type.
Solo tip: Assign recurring chores to yourself so due nudges reach you.

Effective role on a task/project
Section titled “Effective role on a task/project”Can differ from org role:
| Effective role | What you see |
|---|---|
admin | Full write; can manage grants if org role allows |
member | Write |
viewer | Read-only; View only indicator |
none | Hidden from lists and sidebar tree |
Patterns
Section titled “Patterns”How-to recipes using what already ships — not a separate product area. Prefer these over living forever on packaged All Tasks.
Focus with excludes
Section titled “Focus with excludes”- Create tags for domains you want off your main work list (for example chores and people), and/or a root project for life-admin. Prefer flat domain tags: saved-view exclude matches exact tag ids only (excluding a parent does not hide tasks tagged only with a child).
- Create a personal saved view (sidebar Views → +, or Save view from a filtered list): assignee Me (or due today), exclude those tags and/or Not in that life-admin project; optionally limit to active statuses.
- Favorite that view; optionally set Appearance default landing to it, and/or add it as a Home Saved view widget. Unlabeled work stays visible — that is intentional.
- When you add a new life-admin tag later, edit the view to exclude it. Do not require a special “focus” include tag on every project task (forgetting the tag hides work).
Capture → Inbox → Today
Section titled “Capture → Inbox → Today”- Capture parks a thought in Inbox without forcing a project or due date.
- Open Inbox when ready: Ready to release into the open list, file under a project/tags, set due, or Discard.
- Work from a due lens (Today / packaged Due Today) or your Focus saved view — not only from All Tasks. Home due widgets and Favorites are other doors into the same habit.
Sharing a view
Section titled “Sharing a view”Share with organization (on create, or row overflow on a personal view) makes that filter available to teammates. Shared names are unique per org. Assignee → Me on a shared view means each teammate’s own assignment. Keep personal Focus / life-admin lenses personal unless the team intentionally adopts the same excludes; share work triage lenses deliberately. Non-writers see shared views read-only (summary without Edit).
Not in the UI
Section titled “Not in the UI”| Capability | Notes |
|---|---|
| Mind map layout as ViewToggle segment | Not implemented; optional Whiteboard extension is separate (Settings → Extensions) |
| Impact / effort / value score fields | Planned (SOMEDAY.md) — Task scoring extension covers Impact×Effort / ICE when enabled |
For formal behavior details, see the default-client overview and the nested capability for that surface.
